Role/Title: Personal Assistant, Group Technology & Change

Location: Grand Canal Quay

Contract: 6 months

The Opportunity:

Reporting to the Technology Specialist Team & Operations Manager - Office of the Chief Operating Officer, the purpose of this role is to provide Personal Assistant support to the Group Technology and Change Leadership Team (GTaC) in managing a range of administrative tasks, including diary management. In addition, the role will also provide support to the wider business team on various administrative, Business Unit and Divisional initiatives.

Your Key Responsibilities Will Be:

  • Provide pro-active and professional diary management to the GTaC Leadership team (of 8 people) and other members of GTaC, playing a key role in terms of ensuring the smooth running of their business and people agendas
  • Deal with incoming email, post and correspondence
  • Act as main point of reference for all enquiries to the members of the GTaC Leadership Team
  • Prepare for meetings and events including production of briefing packs, collating data, proactively gathering relevant information etc.
  • Arrange all travel and accommodation for the GTaC Leadership Team members
  • Screen telephone calls, enquiries and requests, and handle them when appropriate
  • Prepare documents and presentations (Word, Excel, Powerpoint) to a highly professional standard for meetings, workshops, events etc.
  • Manage all phone, business and people related queries promptly, accurately and efficiently
  • Provide administration support to the CIO in the absence of their PA

What You Need to Have:

  • A proven track record of excellent organisation and coordination skills
  • Strong judgment - demonstrated in prioritising own workload effectively, pre-empting issues and escalating appropriately
  • Excellentcommunication and interpersonal skills coupled with high integrity and self confidence
  • Strong planning, organisational, time management and event management ability and skills
  • Strong ability to work collaboratively with people across all levels in a matrix environment
  • Highest level of confidentiality and discretion
  • Advanced IT skills including Word, Excel, Outloook, PowerPoint and SAP
  • Appreciation of the need for and impact of controls and procedures
  • Previous experience of dealing with internal business stakeholders and customers, external parties and senior executives in a professional manner over the phone and in person
  • Ability to work under pressure, to tight deadlines on varying agendas simultaneously
  • Takes direction/feedback and has the ability to adapt behaviours/style accordingly
